How we treat your information

Privacy Notice

— Notice
This Privacy Notice is a working draft and must not be relied upon until reviewed by Swiss legal counsel and validated against the firm’s actual data-handling practices. The retention periods, processor lists, and transfer mechanisms set out below are indicative; they must be confirmed against operational reality before publication. Remove this notice once the review is complete.

Park Lane Travel Limited Liability Company is the controller of personal data collected through this website and through our membership relationship. This notice explains, in plain language, what we collect, why we collect it, how long we keep it, and what rights you have.

i.Section

The controller

The data controller for the purposes of the Swiss Federal Act on Data Protection (FADP) and, where applicable, the EU General Data Protection Regulation (GDPR) is:

Park Lane Travel Limited Liability CompanyUID CHE-100.778.525Switzerland

For any matter relating to your personal data, please use the enquiry form on this site, marking your message clearly. A director will respond personally within one calendar month.

ii.Section

What we collect, and why

We collect personal data in three contexts:

When you submit the enquiry form

Name, email, telephone (optional), the membership tier you have indicated an interest in, and the message you write. We use this information only to respond to your enquiry and, where appropriate, to consider your application for membership.

Once you are a member

Travel preferences, itinerary details, partner correspondence, billing information, and any other information necessary to compose and execute itineraries on your behalf. We hold passport details, dietary requirements, medical needs, and emergency contacts only with your express instruction and only for as long as the relevant journey requires.

In server logs

Our hosting provider records standard operational information for each request to this website — IP address, browser identifier, request path, response code. This is retained briefly and is not used for analytics, advertising, or profiling. This website does not use cookies, analytics scripts, or tracking pixels of any kind.

iii.Section

Legal basis

We process personal data on the following bases:

  • The performance of our contract with you, where you are a member (Art. 31(2)(a) FADP / Art. 6(1)(b) GDPR).
  • Our legitimate interest in considering and responding to enquiries, where you have written to us (Art. 31(2) FADP / Art. 6(1)(f) GDPR).
  • Your consent, where required by law and where given freely — for example, before sending you any communication that goes beyond the strict ambit of our service (Art. 31(1) FADP / Art. 6(1)(a) GDPR).
  • Compliance with our legal obligations under Swiss commercial, tax, and travel-industry law (Art. 31(2)(c) FADP / Art. 6(1)(c) GDPR).
iv.Section

How long we keep it

  1. 1.Enquiry data is retained for ninety days from the date of enquiry, after which it is destroyed unless the enquiry has resulted in membership.
  2. 2.Member data is retained for the duration of the membership and for ten years thereafter, in accordance with the bookkeeping requirements of Article 958f of the Swiss Code of Obligations. After this period it is destroyed.
  3. 3.Server logs are retained for thirty days.
  4. 4.Information you have asked us to delete is removed from active systems immediately and from backups in due course, save where we are legally required to retain it.
v.Section

Who we share it with

  • With our travel partners — airlines, hotels, drivers, agents — only to the extent necessary to deliver an itinerary you have approved.
  • With our processors (hosting, email delivery), under written contract with appropriate data-protection terms.
  • With Swiss authorities, where required by law (tax, criminal investigation, regulatory reporting).

We do not sell, rent, or otherwise disclose member data to any third party for marketing or any other purpose.

vi.Section

International transfers

Some of our partners are located outside Switzerland and the European Economic Area. Where personal data is transferred to such a partner, we rely on the adequacy decisions of the Swiss Federal Council and, where these do not apply, on standard contractual clauses or other instruments approved by the Federal Data Protection and Information Commissioner (FDPIC).

Where you are travelling to a destination requiring such a transfer (a hotel reservation in a third country, for example), the transfer is necessary for the performance of our contract with you and is made on that basis.

vii.Section

Your rights

Under the FADP and, where applicable, the GDPR, you have the right to:

  • Request access to the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request deletion of your data, save where we are legally required to retain it.
  • Object to certain forms of processing.
  • Withdraw consent at any time, where consent is the basis for processing.
  • Request that data be transferred to you in a portable, machine-readable format.
  • Lodge a complaint with the Swiss Federal Data Protection and Information Commissioner or, where applicable, your local European data-protection authority.

To exercise any of these rights, please use the enquiry form on this site. A director will respond within one calendar month. We do not charge a fee for responding to a reasonable request.

viii.Section

Security

We hold member data on systems located within Switzerland and the European Economic Area. Access is limited to directors and travel directors with a need-to-know. We do not store payment-card information; payments are processed by our banking partners under their own security regimes.

No system is perfectly secure. In the unlikely event of a data breach affecting member information, we will notify affected members within seventy-two hours of becoming aware of it, in accordance with the FADP and (where applicable) GDPR.

ix.Section

Children

Our services are not directed at minors. Where minors travel within a member’s family, we hold only the information necessary for the journey and only on the express instruction of the responsible adult member.

x.Section
